An enquiry is not owned because a name appears near it. Ownership becomes dependable when assignment is explicit, the owner can acknowledge it and any reassignment remains visible.

Where silent loss begins

Shared inboxes and group notifications create awareness, but they do not create responsibility. When several people could respond, each person can reasonably assume that somebody else will.

A practical ownership model

  1. Validate enough context to route the enquiry safely.
  2. Assign one responsible owner.
  3. Notify the owner through the channels the team operates.
  4. Record acknowledgement or escalation.
  5. Preserve reassignment history.

Review the handoff

Leaders need to see more than the current assignee. They need the time and reason for each ownership change, plus the next action that followed.
