Start with the customer journey

A useful response SLA reflects the urgency and context of the enquiry. It should tell the owner what action is expected, by when and what happens when the deadline is at risk.

Keep the model operable

Too many reminder rules create noise. Begin with a small number of clear expectations for first response, active follow-up and overdue escalation.

Connect the SLA to ownership

A deadline without an owner is only a timestamp. Every follow-up expectation needs one responsible user and a visible completion state.

Measure exceptions

Use missed expectations to find process problems: delayed intake, unclear assignment, missing context or unrealistic workload. The goal is not more alerts. The goal is a more dependable response system.
